Bidding and proposals

Janitorial bidding software that starts at the walkthrough.

Most bids in this industry are a square-foot number and a gut call made in a truck outside the building. That is where the money is won or lost, and it is the one part nobody has real software for.

The problem

One low bid, and you are stuck with it.

Janitorial contracts run month to month for years. Underbid a building by fifteen percent and you do not find out on day one. You find out eleven months later, when you finally add up what that account cost you in labor and realize it has been quietly eating the profit from two good ones.

Capture the building once

A guided walkthrough on your phone takes you through the building floor by floor: rooms, restrooms, fixtures, floor types, entrances. It is a form that knows what a commercial building looks like, not a blank notes app.

That capture is not just for the bid. The same building record drives the cleaner's task list, the inspection walk, and the profit math later. You describe the building once and never retype it.

The bid builds itself from what you saw

Production rates per fixture and per square foot turn the capture into hours, hours into labor cost, and labor cost into a monthly price at your margin. You set the rates. It is your company's math, not a national average.

What you get

Our number, next to your gut call.

  • A calculated bid you can argue withThe system shows its number and you put yours beside it. When they disagree, that is the conversation worth having before you sign something for three years.
  • Scope built from the real buildingTask lists come off the rooms and fixtures you captured, so what you promised and what your cleaner sees are the same document.
  • A proposal that is a web linkBranded as your company, opened in a browser, signed in the browser. No PDF attachment buried in an email thread.
  • Electronic signature includedSigning is built into the product. There is no separate signing service to buy and no per-envelope fee.
  • The proposal locks when you send itWhat the client sees is frozen at send. Edit afterwards and you create a new version, so there is never a question about which document they actually agreed to.
  • A pipeline that remembersProspects sit in the same system as live work, so a bid that has gone quiet for three weeks shows up as something to chase instead of something you forgot.
After you win it

The reminder that sells the next job.

Every building has work that is not in the monthly contract: strip and wax, carpet extraction, windows, high dusting. That work is worth more per hour than the recurring cleaning, and it is almost always sold by whoever remembers to bring it up.

Set the cadence when you capture the building, every three, six, or twelve months, and the system emails the building owner when it comes due and puts the follow-up on your dashboard. It runs whether or not anyone remembered.

One extra carpet job a quarter could pay for the whole app. That is the honest case for it.

What this does not do

  • Interior square footage is still yours to supply. The satellite footprint lookup gives you a starting number from the roof, not a measured floor plan.
  • The calculated number is a starting point, not a guarantee. A building with a difficult schedule or a difficult client is still a judgment call.

Questions people actually ask

Does it use ISSA times?

The calculator works from production rates per fixture and per square foot, the same way the industry standards do. You set your own rates and your own margin, so the number reflects your company and your market rather than a national average.

Can I override the calculated number?

Yes, and you should. The calculated bid sits next to what you were going to say anyway. When those two numbers disagree, that gap is the useful part. You decide which one goes on the proposal.

How long does capturing a building take?

A guided walkthrough on your phone, floor by floor, room by room. Most buildings take minutes rather than an afternoon with a clipboard, and you only do it once. Everything after that, the bid, the schedule, the inspections, is built from the same capture.

Do clients need an account to sign?

No. The proposal is a web link. They open it, read it, and sign it in the browser. No account, no app, no PDF attachment to lose in a thread.
